How do you make your money if your venue finding service is completely free?

Our venue finding service is funded by the venues by way of a commission payment, this allows us to offer a free service to all our clients.

That means the venue will quote us a higher rate?

Venue rates are not fixed or set-in-stone, so we negotiate the very lowest rates EVERY TIME. In Fact, we are daily bombarded by event venues around the world asking us to supply them with clients. They openly offer us special rates which the public will never have direct access too. Our advantage is that by having so many venues competing for your event business through us simply allows our office to pass over any special offers.

Is there any commitment once I have asked you to find us a venue?

None whatsoever. We hope you will select one of the ideal venues we have found for you. However, if you decide not to take any of our recommendation, you are free to book elsewhere should you wish.

Does this affect my relationship with the venues I use?

No. When you have decided on your preferred venue, tell us and we will help you establish a direct line of contact with the person who will be handling your event. You will receive direct confirmation, contract with the venue and even pay them direct. Its just as if you had booked the venue yourself. We do not affect any other part of the process.

Once I've given you a brief, how long will I have to wait?

We generally come back within 24 hours unless in situations where the venue happens to be overseas.

Are there any restrictions on venues you can book?

Generally not. However certain Royal Palaces that are in residence may be an issue, but locations like Hampton Court Place, there is no problem. We generally book any venue anywhere in the world.

Can I brief you and other agencies for the same booking?

Unfortunately we cannot work on events where more than one agency has been briefed as this is unnecessary because we would be contacting the same venues and this causes confusion. We will be putting forward the very best venues at the very best rates, so you do not need to brief any other agency.

BUY-OUT is a term given for exclusive use of a venue. This often happens with small boutique venues where a client requires complete venue occupation (often: minimum ranges from 20 to 100 rooms) as a group event.

Our events department would be able to co-ordinate the complete logistics for that event. Locations for BUY-OUTS vary considerably from The Maldives, Thailand and even remote hide-aways within the USA. It's always better to check with our groups team. We are able to acquire amazing package rates.

The 20/80 Rule

What is this rule?

It was named after the Italian economist Vilfredo Pareto. This RULE is one of the main dilemmas facing a majority of organisations. Where 80 percent of your outcomes come from 20 percent. Lets assume that for every 100 people working for you, the chances are that your organisation is currently running on the back of 20 and the remaining 80 are simply either deadwood or auxiliary back-up employees. As Pareto demonstrated, this “rule” holds true, however in most corporate situations the ratio is often much higher – 5/95 may be more realistic.

Event logistics...

How do you set your prices for events - There are "ten" main issues that reflect the final price.

1 * Transportation logistics
This refers to passenger distribution; from transfers, coaches to flight ticketing. Did you know that we are able to get the best prices on the market for airline seats if the group size exceeds 50 people. We have agreements in place where we are able to beat any on-line price plus give you the advantage of having flexibility in your tickets; Name changes, last minute alterations (normally permitted with business class), All airlines from BA, TAP, etc...

2 * Location
Where the event is being staged can be subject to price and value. This can also reflect on final quality of an event. Consider an excitable location, look at different city or country where you get more from an event. We always consider overseas locations for large events. Better exchange rate and easy logistical access and a look at any hidden charges that may be either included or even imposed as penalties like local taxes either directly or indirectly.

3 * Hotel / Venue Selected
Hotel rates vary from location / city / country. We can often get enhanced rates as group concessions also known as sweeteners.

4 * Event duration
This refers to total time from start to finish... 1 day to 5 days etc.

5 * Group size
The cost for various products and services often are cheaper subject to group size. The greater the group size the greater the discount. (Please note that the level of discount varies from event to type of services being commissioned.

6 * Budget
An open budget however beautiful is not realistic. Over spending on events can easily happen if accounting procedures are not recorded. Care should also be handled as most client requirements will often not include those last minute amendments or needs.

7 * Cancellation Policy
All bookings must be confirmed and paid for within 12 weeks prior to the event date. Any event cancelled within 12 weeks of the event date would mean that zero refund is applicable. Any cancellation made prior to 12 weeks will quality for full 100% refund. This will however not include any costs incurred for for flights as their prices are always subject to last minute changes and alterations.

8 * Changes and Amendments
With group bookings, there are often changes and alterations being made till the last four weeks of departure. We understand this and as policy, changes are permitted 4 weeks prior to the event date. However we do allow flexibility on this. Please note that this policy does not include any pre-paid airfares that may have been paid.

9 * Delegate registration, Conference Set-up ~ Set Design ~ Staging ~ Lighting and including take-down and clearance of waste
This refers to anyone considering planning a conference.

10 * Type of activities or services selected as extras.
Don't assume that all products and services being commissioned on events are the same price. Whether its team building activities, theatre evenings, spa activities or golfing green fees, event and personal security to syndicate room hire rates etc, Please note that our full proposals outline all aspects of can or those that should be included.
